Terms and Conditions for The Crown Southwold


The tariffs, which include VAT, are subject to change without notice.


We accept most major credit and debit cards excluding American Express and Diner Cards.

For all reservations, a 50% non-refundable deposit will be taken at time of booking.

If we are unable to take your deposit then we will not be able to process your reservation.

If you have booked through the Adnams website, 50% non-refundable deposit will be debited from your account at the time of booking your accommodation. If the issuer of your payment card refuses to authorise, we will not be able to process your booking and a message will appear informing you of this.

The balance of your room rate and any other charges will be payable on departure from the hotel.

Please note a pre-authorisation of the remaining balance will be taken from your card when you check in.

Please note we are unable to accept personal cheques as a form of payment.


For more information on the cancellation policy that applies to the rate that you have booked, please refer to your confirmation email.

For our Bed & Breakfast rate, in the event of a cancellation less than 48 hours in advance, the Hotel will charge the full amount of your stay as a cancellation fee.

If you wish to cancel your reservation outside of the 48 hour period, you may use your 50% non-refundable deposit to book a future stay. This stay must be within 6 months of your original arrival date and must be booked within 7 days of notifying us of your cancellation date. Failure to do so will result in the hotel retaining your deposit.

During your stay, if you wish to shorten it, we kindly request you to inform our Reception Desk and our 48 hours cancellation policy still stands.

We respectfully recommend that holiday/travel insurance is taken out by yourselves to protect you against the possibility of not being able to reach your holiday destination or in the event of a cancellation.

Should you have booked your stay through a travel agent, please contact them directly to cancel your stay.

Check-in and Check-out

Your room will be available from 3.00pm on the day of arrival.

For earlier arrivals, we do not offer an early check-in but luggage can be stored and taken to your room by our butler service. Rooms must be vacated by 11.00am.

Failure to do so may result in a late departure fee of £20 per hour or part hour being charged.

A late check-out can be requested with our Reception team and will be subject to availability.

This is chargeable at £20 per hour or part hour also and will be no later than 2.00pm.

Dining at the Hotel

If you have not made a reservation for lunch or dinner in our Tap Room or Still Room restaurants at the time of making your room reservation, we strongly recommend that you do so on receipt of these terms and conditions as we do not automatically reserve tables for residents of the Hotel and cannot guarantee a table being available.


Children are welcome at the hotel and are chargeable on a bed and breakfast basis. Children aged 16 years and under are charged £30.00 per night and infants requiring a cot are charged at £15.00 per night. Guests over 16 years old are unable to occupy a slip/Z bed with two full paying adults and are therefore required to occupy their own room and will pay the full room rate. We allow well behaved children in the Dining Room and we do expect parents to ensure their children do not spoil the enjoyment of other guests whilst at the Hotel.


Dogs are permitted in the Garden Rooms at The Swan only. Dogs are not allowed in the main hotel building, except guide dogs and assistance dogs.


Cancellation by the Hotel

Adnams Hotels shall have the right at any time (giving as much notice as possible to the guest) to cancel the reservation in the event the Hotel or any part thereof is closed due to circumstances outside its control, including (without limitation) by reason of fire; flooding; unavailability or interruption of water, fuel, light or any other power supplies; renovations or redecorations, mandatory or voluntary compliance with any direction, request or order of any person having or appearing to have authority (local or national); strikes; lock outs or other labour disputes or shortage of staff.

Use of the Hotel

The customer shall comply with all licensing, health and safety, hygiene and all other regulations relating to the Hotels, as well not cause any physical damages to the premises. Any Hotel property taken will be charged to the credit/debit card upon or after departure.


While the Hotel have taken all responsible steps to ensure that the information contained in brochures, tariffs, leaflets or other advertising or promotional material is accurate, the same shall not be or be deemed to be a representation or warranty of the same. The Hotel reserves the right to alter, substitute, suspend or withdraw any service facility or amenity at any time (with or without notice) and the Customer shall raise no objection in relation thereto.
We cannot accept responsibility for valuables unless they have been deposited with the General Manager for safekeeping and such items are only accepted at the Managers discretion. Our liability for loss or damage to guest’s property whilst staying at the hotel is limited by law to a maximum of £50.00 per item or £100.00 aggregate. We also cannot accept responsibility for cars or childcare. If you park your car in our car park, you do so at your own risk and we do not accept liability for any damage.
